Role:
As a key member of the Published Works team this role is to expertly administer the data and allocation of monies the organisation receives for the secondary uses (photocopying and scanning) of their members’ works. It will focus on the Articles Claim Scheme for articles written for magazines and journals. You will also use your analytical skills to support the review and overhaul of the Scheme during the first year.
In this role you will:
As a key member of the Published Works team this role is to expertly administer the data and allocation of monies the organisation receives for the secondary uses (photocopying and scanning) of their members’ works. It will focus on the Articles Claim Scheme for articles written for magazines and journals. You will also use your analytical skills to support the review and overhaul of the Scheme during the first year.
In this role you will:
- Be responsible for the processing of data to ensure accurate allocation and distribution of fees to members within set timeframes
- Be responsible for coordinating and administering the annual Article Claims Scheme including processing of all income/usage data, validations and distributing and processing of members’ article claims
- Assist members and answering their queries by phone and email in line with Code of Conduct and service level agreements
- Advise members and colleagues on Article Claims Scheme distribution policy and data collections
- Fully participate in the Journals Working Group within the organisation to raise issues or areas for improvement
- Act as an ambassador for both the organisation and as the Published Works Article Claims Scheme expert at internal and external meetings and events as required.

A good analytical mind is important in this role as you’ll be analysing whole processes from start to finish looking at ways to streamline and improve in partnership with other stakeholders within the organisation. A good level of IT literacy is highly desirable so that you fully integrate into this role when looking for solutions to current issues. You’ll be working cross-departmentally so good interpersonal and communication skills are key.

- Education to degree level or equivalent and genuine interest in data and analytics
- Significant experience in a customer services/data administration environment with database experience (ideally SAP)
- Solid experience in all Microsoft Office applications, particularly Excel to intermediate level (as a minimum). Importantly, you’ll need technical proficiency and experience of databases such as SAP and BI Power Tool
- Previous project management experience (you’ll be running your own projects) where you will take full accountability for the development and implementation of processes to improve what is already in place
- Good numerical skills, a high level of accuracy and a desire to see things through to their conclusion according to agreed deadlines
- Good communications skills, a professional working manner, plenty of common sense and a ‘can do’ attitude seeking to make improvements where appropriate would be welcome.
