Role:
This role is focused on organising projects within a small Communications department. This will include the management of internal and external events, sponsorships and day to day administrative tasks. The exact specification of this role can and will evolve over time depending on the needs of the business, so this role would very much suit someone who likes to put their hand to any task, solve problems and get involved within a small team.
In this newly created role, your main responsibilities will be:
Events
Organisation of both internal and external events under the direction of the Head of Communications. Some of the tasks included will be the sourcing and booking of suitable venues, liaising with caterers, sorting and managing guestlists and ensuring that events run smoothly, both in person and online.
Sponsorships and competitions
Ensure that the projects the organisation sponsors are effectively managed and that the organisation is appropriately represented. Where the organisation is involved in the running of competitions you will carry out the administration of these competitions, ensure that timetables are worked to and that they meet all suitable deadlines.
Project management
Manage a variety of projects throughout the year in collaboration with the rest of the communications team, ensuring that key deadlines are met.
Administrative support
Keep the contact database up to date, carry out stock checks, order printed materials and other administrative support as and when required. You will prepare and manipulate data under direction as required.

Candidate:
- Excellent communication skills, both in person and in writing – and able to confidently relate to a wide range of stakeholders which will include writers, sponsors, Board and staff. You will thrive in a busy and demanding office environment within a small team
- Organised, good at managing projects and people. You will have excellent attention to detail, take pride in your work and be diligent in your efforts to ensure that your work is the best that it can be
- Proactive approach to making improvements where you see that they can be made
- Professional, upbeat and have a confident tone in all communications with a strong understanding of the importance of brand and tone of voice
- A pro-active and positive approach is required to solving problems with energy and perseverance in the face of pressure. Flexibility and a willingness to learn
- A conscientious approach to all areas of work, particularly in completing projects, meeting challenges and meeting deadlines
- The ability to focus your own role on the needs of the organisation, agree priorities with your manager and plan how to achieve them effectively
- Experience of Microsoft 365 suite
- Some experience of project and/or event management would be desirable
- Experience of a similar communications role is desirable, but most important is proven experience in the personal specification, the right attitude and a willingness to get involved
- Database experience and a methodical, analytical approach to data
- Experience of using digital email tools would be beneficial. Experience of the Adobe suite of products, particularly illustrator and photoshop would be desirable but not essential.
